2. Reservation Process
Study rooms are first-come, first-served, but may be reserved up to 24 hours in advance online, by phone, or in person. Patrons must check in at the front desk when they arrive. Rooms may be reserved for a maximum of one hour per day per patron or group. Reservations may be forfeited if a patron is more than 10–15 minutes late.
3. Walk-In Use

1. Eligibility and Purpose
Library meeting rooms are primarily intended for library-sponsored programs and activities. Rooms may be reserved by community groups, organizations, and individuals for non-commercial, educational, civic, cultural, or recreational purposes.
2. Reservation Process
Reservations are accepted on a first-come, first-served basis and can be made up to 2 weeks in advance. A completed application form, available at the library or online, must be submitted for each meeting room reservation. Library staff will notify the applicant that authorization for the use of the room has been granted. Groups may not hold recurring meetings in order to ensure availability for all patrons. organization. The library reserves the right to deny, cancel, or reschedule a reservation if the room is needed for library events.
3. Cancellations/Library Closures
Meeting room use is free for non-profit and community-based groups and patrons. Cancellations must be made at least 24 hours in advance of the scheduled event. Failure to cancel may result in future reservation restrictions. In the event the library must close due to equipment failure, inclement weather, all efforts will be made to notify the contact person listed on the meeting room application. During adverse weather conditions, the group should call or check the Library’s website for updates. Organizations scheduled to use a meeting room when there is an emergency closing are encouraged to apply for another date.
4. Room Use and Setup
Groups are responsible for setting up the room for their needs and returning it to its original condition. Tables, chairs, and other equipment must be left in the arrangement found. Library staff may assist with basic equipment setup upon request but are not responsible for technical support. The Roselle Memorial Library has built-in AV equipment and free wireless internet available for presentations. Presenters must use their own device to connect to the Library’s equipment. Arrangements may be made in advance for an introductory session on using the Library’s AV equipment since Library staff may not be available for technical support at the time of the program. Groups must vacate the room by the agreed time. Overstaying may affect future reservations.
5. Conduct and Responsibilities
Attendees are expected to follow all library policies and conduct themselves in a respectful manner. Meeting rooms shall be made available only to responsible adult groups that will provide supervision of all participants and activities. Adult sponsors are responsible for the behavior of the group as well as for the protection of the building and its contents. Meetings held at the Library must end 20 minutes prior to closing. Groups must adhere to the Library Code of Conduct that includes the supervision of children and not interfere with normal Library operation. The group reserving the room is responsible for ensuring that all activities comply with Borough of Roselle fire codes and occupancy limits. With the exception of library-sponsored events, users of the meeting rooms may not charge service or admission fees. Absent the library’s consent, no item may be sold in the meeting room, nor donations solicited in connection with the use of the meeting room. Food of any sort, consumption of alcoholic/non- alcholoic beverages, smoking, vaping, use of candles or incendiary devices and cooking is prohibited in the library or meeting room to maintain a clean environment. Groups are responsible for any damages that may occur during their use of the room. The applicant must report to the librarian in charge when the meeting has ended, and report the number of event attendees.

The library is not responsible for personal injury, loss, or damage to personal property during the use of the meeting room.
Groups using the room must agree to indemnify the library from any claims related to their use of the space.
